The Chief Tutor serves as the principal coordinator for first-year undergraduate (UG) students. The Chief Tutor holds overall responsibility for guiding, assisting, and counseling first-year students.
First-semester students can approach the Chief Tutor for assistance with the following:
Temporary ID cards
Bona-fide certificates
Student records
Leave applications
Syllabus copies
A Tutor is a faculty member who coordinates students’ learning experiences through academic course scheduling, career planning, progress evaluation, and referral to other campus resources. Every faculty member in a department is assigned as a tutor for a group of 20-25 students (wards) from their branch.
A Ward is a student responsible for making all academic-related decisions. The ward is expected to seek guidance from the assigned tutor, stay informed about college rules and regulations, regularly check official email communications, and maintain updated personal information (address, phone number, etc.) in the college system.
Tutors play an active role in advising and mentoring their wards. Their responsibilities include:
Helping students define and develop realistic academic and career plans through semester schedules, co-curricular, and extracurricular activities.
Assisting freshers during orientation to ease their adjustment to academic life, with scheduled follow-up sessions throughout the first year.
Meeting continuing students at least once per semester to plan for the upcoming semester and review long-term academic progress.
Assisting students in planning programs aligned with their abilities and interests.
Monitoring students’ progress toward educational and career goals through regular meetings.
Linking academic programs with future career opportunities.
Interpreting and explaining institutional policies, procedures, and requirements.
Following up on reports of poor academic performance or attendance and providing necessary support.
Approving educational transactions such as course registration, drops/adds, withdrawals, and elective changes.
Making informal out-of-class contacts to show personal interest in students’ overall development.
Maintaining an up-to-date Advising Portfolio for each ward, including grade reports, academic progress, and records of interactions.
Referring students to appropriate institutional resources (Dean-Academics, Dean-Students, Counseling Cell, etc.) when necessary.
Being accessible and proactive in contacting wards, with office hours clearly displayed and communicated.
Consulting with faculty colleagues for updated information on academic and career options, and referring wards to the Career Guidance Cell as needed.
Sharing students’ progress, performance, and career plans with their parents.
Maintaining complete records of each ward until graduation.
Sharing feedback with parents during Parent–Teacher meetings.
Effective tutors generally exhibit the following qualities:
Genuine interest in student advising
A concerned and caring attitude toward wards
Strong interpersonal and communication skills
Availability and accessibility to wards
Frequent and proactive contact with wards
Active monitoring of student progress
Thorough knowledge of institutional policies, procedures, and resources
Effective use of information sources and referral systems
Emphasis on developmental advising, beyond just course scheduling
Wards are equal partners in the advising process and are ultimately responsible for their academic decisions. Wards are expected to:
Clarify personal values, abilities, interests, and academic/life goals.
Schedule regular appointments with the tutor each semester and seek guidance when needed.
Prepare for advising sessions with necessary resources and maintain a personal Advising Portfolio.
Come prepared for registration sessions with a planned schedule for the next semester.
Familiarize themselves with institutional policies, procedures, and requirements.
Regularly access academic portals for updates, registration, and information.
Check emails and official communications from the college and tutor.
Request reassignment of a tutor when re-admitted with junior batches, through the respective HoD.
Accept full responsibility for decisions regarding their academic progress and graduation requirements.
